Make a data protection complaint to Tropicana

Tropicana Products UK Limited (“Tropicana”) is committed to protecting personal data and handling concerns about privacy fairly, clearly and without undue delay.

If you are concerned about the way Tropicana collects, uses, shares, retains, secures or otherwise handles your personal data, you can make a data protection complaint to us.

1. When to use this complaint route

You can use this route to complain about how we handle your personal data. This may include concerns about:

  • how we collect or use your personal data;
  • how we have responded to a request to exercise your data protection rights, such as a request for access, correction, deletion, restriction or objection;
  • information in our privacy notices or cookie information;
  • direct marketing, cookies or similar technologies;
  • how long we keep your personal data;
  • how we share your personal data with service providers, partners or other Tropicana Brands Group companies;
  • the accuracy or security of your personal data; or
  • any other concern about how we process your personal data.

This process is for data protection complaints. If your complaint is about a product, promotion, customer service issue, employment matter or another non-data protection issue, we may refer it to the appropriate Tropicana team or complaints process. If your complaint includes both data protection and non-data protection issues, we will handle the data protection part under this process and may handle the other parts separately.

2. How to make a data protection complaint

If your complaint is sent through another Tropicana contact route, such as a consumer contact form, website enquiry form, HR channel, social media channel or other public channel, we will route it to the appropriate team for handling. However, we may ask you to continue the complaint by online form, email or another secure method so that we can protect your personal data.

3. What to include

Please provide enough information to help us understand and investigate your complaint. This may include:

  • your name and contact details;
  • a description of your concern;
  • the Tropicana brand, website, product, promotion, job application, employment matter, communication or interaction concerned, where relevant;
  • any relevant dates, reference numbers or account details;
  • any supporting documents or screenshots; and
  • the outcome you are seeking, where you wish to tell us.

Please do not send us more personal data than is necessary for us to understand and investigate your complaint.

If you are making a complaint on behalf of someone else, we may ask you to provide evidence that you are authorised to act for them before we respond or disclose personal data.

We may also ask for further information, including information to confirm your identity, where this is reasonable and necessary to investigate your complaint.

4. What we will do

We will acknowledge receipt of your data protection complaint within 30 days.

We will take appropriate steps to investigate and respond to your complaint without undue delay. This may include making enquiries with the relevant Tropicana team, service provider, partner or group company.

If we need more information from you, we will tell you what we need and why.

If our investigation is ongoing, we will keep you informed of progress where appropriate. Once our investigation is complete, we will tell you the outcome of your complaint without undue delay.

Where appropriate, we may take steps such as correcting information, deleting information, restricting use, updating our records, changing our processes, contacting a service provider, updating privacy information, or taking other remedial action.

5. Data protection rights requests

This complaints process is separate from your rights under data protection law, such as the right to request access to your personal data or to ask us to correct, delete or restrict the use of your personal data.

If your message includes both a data protection rights request and a complaint about how we have handled your personal data, we will handle the rights request under our data protection rights process and handle the complaint under this complaints process.

We want this process to be accessible. If you need information in another format, or need reasonable support to make a complaint, please contact us using the details above and tell us what you need.

7. Your right to complain to the ICO

You also have the right to complain to the Information Commissioner’s Office, the UK data protection regulator.

You can contact the ICO through the ICO website or by telephone on 0303 123 1113.

You may complain to the ICO at any time. You do not need to complain to us first, although we would welcome the opportunity to consider and respond to your concerns.

Our online data protection complaints form may ask you to provide:

  • your full name;
  • your email address;
  • your telephone number, if you wish to provide it;
  • your postal address, if you would prefer us to contact you by post;
  • how you would prefer us to contact you;
  • whether you are making the complaint for yourself or on behalf of someone else;
  • if you are acting for someone else, the name of that person and evidence that you are authorised to act for them;
  • the Tropicana brand, website, product, promotion, job application, employment matter, communication or interaction concerned, where relevant;
  • a description of your concern, including what happened and when;
  • the outcome you are seeking, where you wish to tell us;
  • any relevant reference number, account number, order number or other identifier, where available;
  • any supporting documents or screenshots; and
  • any accessibility or communication needs that you would like us to take into account.
